Choosing solar monitoring and maintenance cover in Cyprus

Monitoring is only worth buying when someone is contracted to act on what it reports. A portal that shows yesterday's yield to an owner who cannot interpret it has changed nothing; a system that raises a threshold alert to a named party with a written response time has changed the economics of every fault that follows. So the question to put to a prospective supplier is not which portal they use, but what happens between an alert firing and an engineer standing on the roof — and who pays for each step in between.

That distinction separates monitoring from operations and maintenance. The two are usually sold together in Cyprus and should be priced apart, because one is a software subscription and the other is labour, access equipment and travel.

What can actually be verified

The portal itself can be inspected before anything is signed. Ask to be shown a live, anonymised installation the company already manages, and look for four things.

Granularity. Inverter-level telemetry reports total output only, so a single failed string shows up as a system producing less than it used to. String-level or module-level telemetry identifies which part of an array has failed. On a shaded or multi-orientation roof, the second is worth the difference; on a small unshaded array, it often is not.

Ownership of the account. Establish whose credentials the monitoring account is created under, and whether the account and its history transfer to a new owner on sale of the property. Data logged under a contractor's own account has a habit of becoming inaccessible the day the contract ends.

Alert configuration. What thresholds are set, who receives the alert, and whether the alert compares actual output against a modelled expectation or against a fixed floor. A fixed floor catches total failure. Comparison against a model catches gradual soiling and a degrading string, which is where most lost generation actually accumulates.

What the portal is. Some are the inverter manufacturer's own platform, included with the hardware; some are third-party layers charging a recurring fee on top. Both are legitimate. Paying a monthly fee for a rebadged view of a free manufacturer portal is not.

Alongside the software, the company itself can be checked: registered name, number and directors at the Registrar of Companies; ETEK registration for any engineer signing a performance report; the licence of the electrical contractor who will carry out work beyond cleaning; and an insurance certificate carrying a policy number, an insurer and an expiry date, covering work at height.

Registrations that matter

Cleaning an array and diagnosing it are different activities with different requirements, and a single contract often covers both.

Washing modules, clearing debris and visual inspection require competence at height and insurance, not an electrical licence. Anything that involves opening an inverter, testing a string under load, altering DC wiring or working on the AC side is reserved electrical work, and the licensed contractor responsible should be named in the contract rather than described as "our technician".

ETEK registration matters at the point where a report becomes evidence. A performance report used to support a warranty claim against a manufacturer, or a structural opinion on a mounting system after a wind event, carries weight when it is signed by an engineer registered to practise. An unsigned spreadsheet does not.

The EAC connection record sits behind all of it. Export metering is registered against the installation, and the original connection application was filed by the installer before commissioning, with a recorded typical duration of 45 days. Where a maintenance contractor replaces an inverter with a unit of different rating or different export behaviour, that is a change to the connected system rather than a like-for-like swap, and the contract should say who notifies the authority.

Questions to ask

1. What is the response time, and is it in the contract?

   Distinguish remote diagnosis from attendance on site. Both should carry a stated period in working days, and the period should differ for a total outage and for a single underperforming string.

2. How many site visits a year, and what is done on each?

   A visit is a scope, not a duration. Module wash, visual inspection of fixings and cable management, inverter filter and fan check, torque check on selected fixings, string voltage and current readings, and a written report are separate items. Ask which are included and which are extra.

3. What water is used for cleaning, and who supplies it?

   Hard mains water dried on hot glass leaves mineral deposit that reduces the benefit of the wash. Deionised water and a fed-pole system avoid it. On properties without an accessible outside supply, water delivery is a real line item.

4. Is travel included, and how is it calculated?

   Distance drives cost more than most owners expect. A property in Polis Chrysochous is far enough from the contractor base in Paphos that travel time is already inside most quoted day rates there, and it should be visible rather than absorbed into a vague call-out charge.

5. Who administers warranty claims?

   Inverter and module warranties are held against manufacturers. Establish whether the contractor prepares and submits the claim, or whether the owner does, and whether labour to remove and refit a failed unit is inside the maintenance fee or billed separately.

6. What access equipment is assumed?

   A single-storey villa with a parapet and a three-storey block are different jobs. On hillside plots around Peyia, steep access roads limit vehicle size, and the equipment that can physically reach the property decides the method.

What a good quote looks like

Where a recorded range is not published, the sensible approach is to understand what moves the figure rather than to anchor on someone else's number. Six things do most of the moving: array size in kWp, the number of scheduled visits per year, roof access and the equipment it demands, distance from the contractor's base, whether cleaning uses supplied deionised water, and whether electrical testing is included or quoted per occurrence.

A quote worth comparing therefore separates the recurring monitoring subscription from the maintenance visits, states the scope of each visit as a list rather than as a description, gives the response commitment in working days, names the deliverable report and its frequency, and prices call-outs outside the schedule at a stated rate. It should also state what is excluded: inverter replacement labour, module replacement, structural work on mounting, scaffolding, and any electrical alteration requiring a licensed contractor.

Seasonality belongs in the contract too. In Ayia Napa and the surrounding Famagusta district resorts, buildings are predominantly seasonal tourist accommodation and works concentrate in November to March. A cleaning schedule written for that stock should put the main visit before the season opens, not in the middle of it. Coastal exposure works the other way: on the Kato Paphos frontage, salt-laden air is why marine-grade fixings are standard there, and it is also why fixing inspection matters more than it does inland, where dust is the dominant deposit and rainfall does part of the cleaning.

Warning signs

• A monitoring fee quoted with no maintenance scope attached, or a maintenance contract with no monitoring at all.
• Monitoring credentials held in the contractor's name with no transfer clause.
• Response times described as "prompt" rather than in working days.
• Cleaning quoted per visit with no statement of what else is inspected.
• An annual fee that includes an unlimited number of call-outs, which usually means either a large hidden margin or an unhonoured promise.
• No named licensed electrical contractor for work beyond cleaning.
• Performance reports offered without any modelled expectation to compare against.
• A recommendation to replace an inverter without string-level data supporting the diagnosis.
• Insurance that does not mention work at height.

Common questions

Is monitoring necessary on a small residential system?

The argument for it is strongest where nobody would notice a fault. A permanently occupied home with a visible in-house display will notice a dead system within days. A holiday property let seasonally can lose an entire summer of generation before anyone looks, which is precisely the case where an alert to a contracted party pays for itself.

How often should modules be cleaned in Cyprus?

Frequency is driven by what lands on the glass rather than by a calendar. Dust events, proximity to agriculture or an unsurfaced road, bird activity, and the absence of rain through the long dry months all increase deposit. The defensible approach is to set the schedule from the monitoring data — comparing actual output against modelled expectation and washing when the gap opens — and to treat a fixed number of visits as a starting position to be adjusted.

Does a maintenance contract affect the manufacturer warranty?

Most inverter and module warranties assume the installation is maintained and that work is carried out by competent parties. Keeping dated records of visits, readings and cleaning is the practical benefit of a contract when a claim is made, which is another reason the report deliverable belongs in the scope rather than being offered informally.

Can a different company maintain a system it did not install?

Yes, and it is common. What matters is access to the monitoring account, availability of the commissioning documentation and string layout, and a handover of the electrical certification. A prospective contractor who does not ask for those three before quoting has not planned to use them.
